As they continue to grow and expand their operations, we are seeking a highly qualified and experienced Chief Financial Officer (CFO) to join their team.

 

Job Description:

The Chief Financial Officer of the firm oversees financial operations and strategy, including General Office Administration, Human Resources, Payroll, Accounting, 401K, Equipment contracts, some internal IT, Some Building Management contracts, financial planning, reporting, and analysis. They manage cash flow, ensure compliance with regulations, and implement internal controls for risk management. Collaborating with firm leadership, the CFO develops financial strategies for growth, efficiency, and performance enhancement. They play a crucial role in safeguarding assets, optimizing resources, and driving long-term sustainability while fostering financial transparency and accountability.

 

 

General Office Administration:

- Supervise and schedule general staff, including courier services, receptionists, and temporary help.

- Coordinate staff relocations and manage holiday schedules.

- Centralize and maintain a personal phone list and emergency contact list.

- Track notary expiration dates and ensure compliance with HR-related tasks, such as sexual harassment training.

- Monitor and implement new employer state or federal requirements.

 

HR Management:

- Advertise, screen, and interview prospective employees.

- Prepare engagement letters and calculate vacation time.

- Onboard new employees, including equipment setup, network access, PC Law familiarization, and completion of personnel forms.

- Conduct background checks and manage health insurance enrollment.

- Track employee review dates, vacation, and personal time.

- Monitor vacation requests to prevent overlaps.

 

Accounting Oversight:

- Supervise accounting staff and delegate responsibilities accordingly.

- Oversee day-to-day cash flow management and accounts receivable/payable functions.

- Manage 1099 reporting and assist with financial analysis as needed.

- Provide preliminary bonus and raise recommendations.

- Maintain accurate records and ensure compliance with ALTA Best Practices Employee Tracking Manual.

 

IT Coordination:

- Act as a liaison between internal staff and external IT support.

- Address and resolve IT problem requests, with an estimated resolution rate of 70%-75%.

- Assist with the setup of new computer stations and establish remote connections.

- Coordinate equipment requests and inventory management.

- Collaborate with IT professionals on equipment upgrades, platform changes, and security enhancements.

 

Building Management:

- Serve as a point of contact between the office and building management.

- Track employee access and supervise office build-outs.

- Review and negotiate contract renewals for office equipment and services.

 

401K Administration:

- Oversee the firm's 401K plan and manage employee eligibility.

- Coordinate contribution submissions and prepare required testing and analyses.

- Liaise with financial institutions to ensure compliance and optimal plan performance.

 

Miscellaneous Responsibilities:

- Prepare promotional advertisements and handle vetting requests from external stakeholders.

- Manage online occupational tax submissions for attorneys.

- Maintain a centralized password list and assist with escrow client liaison.

- Provide support for partner personal matters and file conflict resolution.

- Follow up on important email communications involving key stakeholders.

 

Qualifications:

- Bachelor's degree in Accounting, Finance, Business Administration, or related field (Master's degree preferred).

- Certified Public Accountant (CPA) designation strongly preferred.

- Proven experience in a senior financial management role within a professional services firm, preferably within the legal industry.

- Extensive knowledge of accounting principles, financial reporting standards, and regulatory compliance.

- Strong leadership skills with the ability to effectively manage and motivate a team.

- Excellent communication, interpersonal, and problem-solving abilities.

- Detail-oriented with a high level of accuracy and integrity.

- Proficiency in relevant software applications, including PC Law and Microsoft Office Suite.
